Dashboard, User Management & Admin Settings

If you have an Admin account, read on to learn about the many different options you have access to. Please first log into your web portal.

Dashboard

Within the Dashboard, you can see a high-level overview of your institution's usage. It consists of 'Number of Sessions ran,' 'Hours of Simulation per Learner,' 'Total number of simulation hours,' and a graph showing usage for a 12 month period:

User Management

First, click the 'User Management' tab on the left-hand side:

Within this page, you have the option to create new user accounts. There are two methods:

1. Creating accounts individually:

  • Enter the user's email address

  • Enter the user's first name

  • Enter the user's last name

  • Select a role from the dropdown menu

  • Click the Send button. Then, repeat for any additional users:


2. Bulk Invite

If you have a large number of users that you wish to create accounts for but it would take too long to create an account on by one, you now have the option to import a .csv file with up to 50 users at once. The .csv file must contain the users' email address, first name, and last name:

Please note: users invited using this method will automatically be assigned a 'Learner' (i.e. student) role. If you wish to change this, please review the steps in the following section related to managing existing users.

Managing Existing Users

As an Admin, you have the ability to manage any existing user accounts. This consists of the following options:

  • Activate Users: Activates a user account automatically if they've not yet accepted the welcome email.

  • Deactivate Users: Makes it so that the user cannot log into their account anymore on neither the web portal nor the UbiSim app in VR. However, the user's data will remain on file, and the admin can choose to reactivate the account at any time.

  • Delete Users: This fully deletes an account, including any data. If an account has been deleted and the user needs to have access again, a brand-new account will need to be created.

  • Change role to Administrator / Trainer / Learner: Allows the admin to change the users' roles.

Managing users can be done by simply clicking the check box to the left of the users' email address, and clicking the 'With Selected' dropdown menu:

Lastly, the admin can click the 'Apply' button to finalize and save the changes.


Admin Settings

Settings: When you click the 'Admin Settings' tab, you will first enter the 'Settings' page. Here, you can make any global changes that affect most of the other users in your institution. Below is a review of all the options:

  • Allow Editing of Scenarios: You can allow faculty members to be able to edit existing scenarios. If you wish to limit this ability to admin accounts only, you'll need to toggle this setting off.

  • Require Learners to Join a Class (Hide the Scenarios Page): When this option is enabled, trainees (i.e. students) can only launch a scenario after joining a class.

  • Save recording of web-streaming session view: When this option is enabled, users can watch a web replay of the facilitator view.

  • When a user is deleted, delete all associated session recordings: deletes the session replay video from the Session Feedback along with the user account and their corresponding data.

  • Use Imperial Units: The units of measurement most widely used in the U.S.

Updates: Within the 'Update' page, you will see all the available updates from UbiSim.

It's essential that you update as soon as you are able to. Alternatively, if you're using a device manager such as Meta Quest for Business or Arbor XR, you can find the APK file to download and import to your fleet of headsets:
