Getting Started with SSO

UbiSim Version 1.20 introduces Single Sign-On (SSO) via Microsoft Entra ID designed to simplify how learners and faculty access the platform. This guide walks through how the feature works and how to get started.

Note: The following information is for admin users only and applies if you first requested to opt into SSO. If you would like to opt into SSO, please reach out to your Customer Success Manager.

Setting Up SSO for Your Institution

SSO allows your institution to manage UbiSim authentication through Microsoft Entra ID. Once enabled, students and faculty log in using their existing institutional credentials.

To enable SSO:

  1. Log in to the UbiSim web portal

  2. Navigate to Admin Settings

  3. Select the SSO tab

  4. Follow the on-screen configuration steps to connect your Microsoft Entra ID instance

  5. Use the Global Consent button to approve access for your entire institution. This removes the need for individual students to accept permission prompts

The Single Sign-On tab is located in Admin Settings alongside Settings and Update.

Activation options:

  • Enable SSO for your entire institution at once

  • Apply SSO selectively by user role for a phased rollout

  • Manage an Email Whitelist for fine-grained control over which users are included

Enabling Org-Wide Consent removes the need for individual students to accept permission prompts. Ideal for large cohort deployments.

Audit Trail: Every configuration change is automatically logged with the name of the administrator and the date of the change. The audit log uses a color-coded system for easy review: green for additions, blue for role updates, and red for removals.

For SSO Users: EasyLogin on Mobile

If your institution has enabled SSO and you do not have access to a PC workstation, EasyLogin lets you authenticate using your smartphone and get straight into VR.

How to use EasyLogin:

  1. On your mobile device or desktop browser, go to ubisimvr.com/easylogin

  2. Sign in using your institutional SSO credentials

  3. Your 4-digit VR Access Code will appear on screen

  4. Enter the code on your VR headset to launch your session

EasyLogin is designed for:

  • Learners in remote or off-site clinical training environments

  • Anyone accessing VR without a dedicated PC workstation

  • Fast session launching in high-volume lab settings

Frequently Asked Questions

What if my institution uses Google Workspace or Okta instead of Microsoft Entra ID?

SSO via Microsoft Entra ID is the only supported identity provider in Version 1.20. Support for additional providers will be evaluated in future releases. Contact your Customer Success Manager for more information.

I am an admin, what if I accidentally deactivate a user's SSO access?

The Email Whitelist management interface includes confirmation modals before saving changes to prevent accidental deactivations. All changes are also recorded in the Change Log so they can be reviewed and reversed if needed.
